GRANT MANAGER - UTAH
Full-Time Exempt Position
The Kahlert Foundation is a family philanthropic organization focused on enhancing the quality of life in Utah and Maryland. The Foundation has a $500+ million endowment and an annual grantmaking budget of $25+ million to nonprofit organizations in the areas of health, education, youth, veterans, and human services. The Foundation is governed by a board of family and community members and is operated by a lean professional staff.
The Grants Manager provides highly organized, detail-driven and confidential support to the Foundation’s Executive Vice President. The position requires strong alignment with the foundation’s values, as well as demonstrated success, sound judgment, and flexible working hours. This position interfaces directly with grantees and prospective grantees while working with the Executive VP, leadership and other team members on the back-end operations of the Foundation.
EXPERIENCE

Bachelor’s degree is preferred, or a minimum of 3-5 years’ experience in a professional office setting.

Previous non-profit or foundation work experience preferred.

Comfort and experience working independently.

Experience in utilizing CRM software systems. Grants management software ideal.

Proficient in Microsoft Office Suite (especially Excel) and Adobe.

Knowledge in social media and website management.

Excellent multitasking, organizational and time-management skills, with the ability to prioritize and meet deadlines.

Detail-oriented and highly accurate with data entry.

Team-player with a track record for building and maintaining collaborative relationships and contributing to a positive organizational culture.

Strong customer-service, verbal, written and interpersonal communication skills.

Professional maturity, discretion, and good judgment.

Flexibility as job responsibilities may evolve hours outside of 9-5.
ADMINISTRATION AND PROCESS (30%)
-
Proactively provides prompt, accurate, confidential and professional services to the Executive Vice President

Drafts regular reports and briefings for Executive VP’s review

Processes monthly expenses and reimbursement reports

Respond to email and phone calls from grantees and community members requesting assistance in a timely manner.

Prepare emails for leadership, as needed, to obtain or relay information regarding the Foundation.

Do other administrative duties as required-e.g., mail merge, mailing labels for correspondence.
BUSINESS CORRESPONDENCE AND ADDITIONAL RESPONSIBILITIES (20%)

Draft and edit professional business correspondence on behalf of the Executive VP, including emails, letters, and other written communications.

Develop and refine written materials for board meetings, reports, and charity communications to ensure clarity and alignment with the Foundation’s tone and messaging.

SOCIAL MEDIA & WEBSITE MANAGEMENT (10%)

Take the lead on social media engagement. Work with the Executive VP and leadership to regularly post news and ongoing happenings of the Foundation and our grantees.

Regularly update and enhance The Kahlert Foundation Website ensuring that information is informative and accurate.

Assist with media, program ads and other public facing requests. Ensure usage of The Kahlert Foundation brand is appropriate and approved by leadership.
GRANT MANAGEMENT (40%)

Implement grants administrative procedures, including but not limited to initial IRS and state compliance screenings, letters of inquiry (LOI), award letters, grant payments, grant reporting and payment receipts.

Manage the acceptance of formal inquiries and proposals by providing grant seekers with information about the process, timeline, and requirements, conducting an initial review of all submitted materials, and screening submissions for eligibility and completeness.

Maintain frequent communication with applicants and grantees, including assisting them with the application process and reminding them about upcoming deadlines and reporting requirements.

Manage the Foundation’s grant reporting process and review grant reports for completeness and summarize the status of a grant for Executive VP.

Maintain efficient grants management operations by collaborating with team members to identify data management and workflow challenges and implement solutions and improvements.

Manage and maintain accurate and complete database grant records, ensuring consistency and compliance with legal, IRS, audit and Foundation regulations and guidelines.

Assist the Maryland team, as needed.

Attend professional conferences and training sessions to further education regarding grant making and CRM management, as needed.

Executive Vice President
COMPENSATION:
Exempt with a salary of $60,000-$75,000, commensurate with experience and market. Medical, dental and vision benefits and Paid Time Off. Generous 401k and matching plan.
LOCATION:
Remote work with local travel, availability for onsite visits and attendance at events for charitable partners required. Local candidates only. The candidate must be located within close proximity to Salt Lake City, and Salt Lake County.
